What’s the size of your event, as this will impact the size of the crew and the cost. It’s always good to have a minimum two cameras recording, one that captures the wide shot and a roaming camera that captures a closer shot of the speaker and the crowd. Most larger locations will have a sound system that the camera crew can plug into so you can get a direct audio feed.
Get some key people to deliver a piece to camera of how much they’re enjoying the event and what value they’re getting.

Do some research and have some examples videos so that you have a good idea of what you want the end video to look like, have a recommended shot list to ensure that the camera crew capture everything that is needed for the edit.
